How to Merge Rows in Excel (Combine Rows Into One)

A description wrapped across several rows, and Excel's Merge & Center keeps only the top one — quietly binning the rest. Here's why, and the one-click way that keeps every value.

Why Merge Cells destroys data

The obvious button is Merge & Center, but it's a formatting trick: it keeps only the top-left value and silently discards everything below — Excel warns you, then throws the rest away. The formula alternative, TEXTJOIN, does keep every value, but you have to point it at the exact range by hand and give the result its own spare cell, then paste it back as text. Neither is a clean "collapse these rows" action.

The 1-click way — Tellsheet's Merge Rows

Select the stacked rows and run Merge Rows — the vertical counterpart to Merge Cells. Pick the separator between values (space, comma, semicolon, or newline) and it collapses them into one, keeping every value, not just the first. It's the fix for a description that wrapped across several rows on import. Pairs with Combine Columns and Join Column Into One Cell.

Frequently asked questions

How do I combine several rows into one?

Select the stacked rows and run Merge Rows — it collapses them into one cell with your chosen separator, keeping every value.

Why does Merge & Center lose data?

It keeps only the top-left value and discards the rest. Merge Rows joins the values instead, so nothing is thrown away.

Can I choose the separator?

Yes — a space, comma, semicolon, or newline between the values, so the result reads the way you want.

How is this different from Merge Cells?

Merge Cells is formatting that keeps one value; Merge Rows actually combines the text of every row — the tool for a wrapped description.
