How to Insert Blank Rows Between Data in Excel (Every N, or by Group)

Spacing out a list — a blank row between every record, or a gap between groups — is a classic chore that means a helper column and a sort. Here's the one-click way that does it without touching your original.

West · 90West · 90

Why the manual trick is fiddly

The standard recipe is to add a helper column numbered 1, 2, 3… beside your data, copy that same sequence into the empty rows just below, then sort by the helper column so the blanks interleave — and finally delete the helper. It works, but it's several steps, easy to misalign, and leaves cleanup behind. Kutools users reach for its "Insert Blank Rows & Columns" tool for exactly this reason.

The 1-click way — Tellsheet's Insert Blank Rows/Columns

Select the block and run Insert Blank Rows/Columns. Choose blank rows or blank columns, then every N (a gap at a fixed interval) or when a column's value changes (a gap between groups), and how many blanks to drop in. The spaced-out result is written to a new sheet, so your original block is never disturbed. Pairs with Fill Blank Cells and Add Serial Numbers.

Frequently asked questions

A blank row between every row?

Choose "every 1 row", 1 blank — done, no helper column or sort.

A gap only between groups?

Pick "when a column's value changes" and the key column; each new group is separated by a blank row.

Can it insert blank columns too?

Yes — switch to blank columns and set the interval.

Is my data safe?

Yes — the result goes to a new sheet; the source is untouched.
